POSITION DESCRIPTION MAINTENANCE RECORDS SPECIALIST
Job Title: Maintenance Records Specialist
Reports to: Director of Maintenance
Classification: Non-Exempt
Time Commitment: Full-time
Location: St. Mary's County Regional Airport-2W6, California, Maryland
Position Summary
The Maintenance Records Specialist plays a critical role in maintaining the integrity of aircraft maintenance operations. This position ensures accurate retention and distribution of technical records, which is essential to maintaining the aircraft's Continuous Airworthiness. The specialist also verifies that personnel are properly trained, qualified, and current through a closely monitored training program, supporting safe and compliant maintenance practices.
Essential Functions
- Maintain and update aircraft logbooks, ensuring all maintenance entries and sign-offs are properly documented.
- Track and input aircraft flight hours, landing cycles, and engine cycles to ensure maintenance schedule compliance.
- Organize, categorize, and file all maintenance and modification records in accordance with regulatory and company standards.
- Maintain and control aircraft technical publications, including manuals, service bulletins, and reference materials for the fleet.
- Assist in scheduling periodic maintenance using aircraft tracking sheets and maintenance tracking software.
- Support the development and maintenance of company procedures, programs, and qualification processes.
- Perform regular audits of records to prevent overflying maintenance tasks and ensure accuracy across systems.
- Provide administrative support including filing, data entry, processing transactions, answering phones, and travel coordination.
- Assist with onboarding and provide orientation or basic training for new team members.
- Perform additional duties as assigned to support department and operational goals.

Minimum Qualifications
- U.S. Citizenship is required.
- Strong problem solving, and communication skills.
- Outstanding organizational and time-management abilities.
- Proficiency in Microsoft Excel and other Microsoft Office programs.
- Experience scanning and managing electronic records.
- Ability to type at least 35 WPM.
- Ability to perform clerical tasks, such as answering phones and supporting flight/production control operations.
- Capability to work all assigned shifts and schedules.
- Valid U.S. state driver's license.

Physical Requirements
- On-call responsibilities for unscheduled maintenance or AOG situations.
- Work in an office environment and occasionally in aircraft maintenance hangars.
- Routine use of standard office equipment.
- Ability to lift up to 30 lbs.
- Frequent standing, walking, bending, and using hands for tasks.
